Job Description:
1. Operations & On-Ground Coordination:
● On-Ground Representation: Act as the organisation’s primary on-ground
representative in Liberia, supporting management with day-to-day operational
activities and ensuring smooth execution of assigned tasks.
● Operational Coordination: Coordinate local activities, meetings, site visits,
appointments, transportation, accommodation, document movement,
deliveries, and other logistical requirements.
● Task Follow-Up: Proactively follow up with stakeholders, vendors,
government offices, partners, and implementation teams to ensure activities
and commitments are completed on time.
● Problem Solving: Handle routine operational issues independently, identify
challenges early, and escalate important matters to management when
required.
2. Stakeholder Liaison & Communication:
● Government & Institutional Liaison: Liaise with government authorities,
ministries, agencies, institutions, project partners, vendors, and other
stakeholders on behalf of the organisation.
● Professional Communication: Communicate confidently and professionally
through email, phone, meetings, WhatsApp, and other communication
channels.
● Relationship Management: Build and maintain positive working relationships
with key stakeholders and ensure timely communication and follow-up.
● Management Communication: Provide clear, concise, and timely updates to
management on activities, pending matters, issues, and stakeholder
responses.
3. Documentation & Data Management:
● Document Management: Collect, submit, organise, scan, file, and track
company and project-related documents.
● Data Gathering: Gather project, operational, stakeholder, field, and market
related information from reliable sources.
● Data Verification: Verify information collected from government offices,
project sites, vendors, partners, and implementation teams before reporting.
● Records & Tracking: Maintain organised trackers for documents, tasks,
stakeholder follow-ups, approvals, submissions, and other operational
activities.
4. Project & Implementation Support:
● Implementation Coordination: Work closely with project and technical
implementation teams to support smooth execution of activities in Liberia.
● Field Support: Participate in site visits, meetings, inspections, training
programmes, workshops, and other project activities when required.
● Technical Understanding: Develop a basic understanding of project
requirements, technical activities, deliverables, and implementation processes
to effectively coordinate with technical teams.
● Progress Verification: Follow up on implementation activities and provide
factual updates on progress, delays, gaps, or issues identified on the ground.
5. Logistics & Administrative Support:
● Local Logistics: Arrange transportation, accommodation, meetings, site visits,
document drop-offs/pick-ups, equipment movement, and other operational
requirements.
● Vendor Coordination: Coordinate with local vendors, service providers,
consultants, and contractors for operational requirements and follow-ups.
● Meeting & Event Support: Support the organisation of meetings, workshops,
training sessions, project events, and stakeholder engagements.
● Administrative Support: Handle general administrative and operational
activities required for the smooth functioning of the organisation’s activities in
Liberia.
6. Reporting & Management Support:
● Progress Reporting: Provide regular updates to management on completed
activities, ongoing tasks, pending actions, and upcoming requirements.
● Action Tracking: Maintain action trackers and follow up with responsible
stakeholders to ensure timely closure of assigned tasks.
● Issue Escalation: Identify risks, delays, discrepancies, or operational
challenges and communicate them to management at the appropriate time.
● Information Management: Consolidate information from multiple sources and
present it to management in a clear, structured, and actionable manner.
7. Research & Continuous Improvement:
● Local Research: Conduct basic research and gather information on local
stakeholders, institutions, regulations, vendors, services, and project-related
requirements.
● Process Improvement: Identify opportunities to improve operational
processes, documentation, communication, coordination, and reporting.
● Resourcefulness: Find practical solutions to on-ground challenges and work
independently when required.
❖ Desired Candidate Profile/ Required Experience & Qualifications:
● Educational Background:
○ Bachelor’s degree in Business Administration, Operations Management,
Project Management, Public Administration, Management, Communications,
or a related field.
● Experience:
○ 2–5 years of experience in operations, administration, project coordination,
liaison, field operations, or a similar role.
○ Experience working with government institutions, corporates, NGOs,
development organisations, or large-scale projects is highly preferred.
○ Experience in stakeholder coordination, field operations, documentation,
logistics, or project implementation is an advantage.
○ Experience working with technical or implementation teams is a plus.
● Skills:
○ Excellent verbal and written English communication skills.
○ Strong stakeholder management and liaison skills.
○ Strong follow-up, coordination, and organisational skills.
○ Ability to collect, verify, organise, and report information accurately.
○ Good knowledge of Microsoft Office / Google Workspace, particularly
Excel/Google Sheets and document management.
○ Ability to understand basic technical and project-related requirements.
○ Strong problem-solving and decision-making abilities.
○ Ability to prepare clear and concise reports and management updates.
○ Good understanding of local logistics and operational coordination.
○ Willingness and ability to travel within Liberia when required.
