Job Summary

Position Summary:
DOXXBET Liberia is seeking a proactive and detail-oriented Administrative Assistant/Officer to support day-to-day office operations, maintain efficient administrative systems, and ensure regulatory compliance with government institutions. The successful candidate will play a pivotal role in maintaining order and professionalism within the office and will act as a liaison between the company and external partners.

Job Description

Key Responsibilities:


Office Administration:



  • Manage inventory of office supplies and place orders as needed to avoid shortages.

  • Maintain and regularly update company databases and filing systems (both physical and electronic).

  • Organize and safeguard important and confidential company documents.

  • Respond to internal and external queries via phone, email, or in person in a timely and professional manner.

  • Maintain company calendars, schedule meetings, and manage appointment logistics.

  • Draft, distribute, and archive correspondence such as memos, letters, emails, and packages.

  • Develop and update administrative systems to make them more efficient.


Compliance & Government Liaison:



  • Act as the primary contact with government agencies including the:


    • Liberia Immigration Service (LIS)

    • Ministry of Labour (MOL)

    • National Port Authority (NPA)

    • Ministry of Commerce (MOC)

    • National Lottery Authority (NLA)

    • Liberia Revenue Authority (LRA)




  • Ensure that all company registrations, business licenses, permits, and employee documentation are current and compliant with national regulations.

  • Prepare and submit required documentation for renewals of business licenses, employee permits, and other statutory obligations.

  • Keep accurate records of all compliance deadlines and alert management in advance of any expirations.


Travel & Event Coordination:



  • Organize travel arrangements including flight bookings, hotel accommodations, and transport for staff and guests.

  • Plan and coordinate both internal and external events, including staff meetings, trainings, conferences, and public events.


Policy & Process Support:



  • Update office policies and procedures as required and ensure they are effectively communicated to all staff.

  • Assist in onboarding new staff by preparing workstations and coordinating orientation sessions.

  • Provide general support to the management team to ensure smooth office operations.
